HCi Advisory Group (HCi) a boutique consulting firm in Washington, DC, is seeking a driven Project Coordinator to join our team. Benefits, Compensation and Work Hours: 

This is a full-time position, 35 hours a week. The starting hourly pay is $32 (minimum) - $41 (maximum) based on experience. This position is based in the Navy Yard in Washington, DC, and operates in the office in the short term. HCi will consider 1 or 2 days remote, following a 90-day review period. Required Education and Experience: 

Bachelor’s Degree in business administration or related field and three (3) to five (5) years of experience providing high-level administrative support, including project/task coordination. An equivalent combination of education and experience may be considered.

 

The ideal candidate will be flexible, self-motivated, able to learn new technology quickly, proficient in Microsoft Office and QuickBooks, and possess exceptional written and oral communication skills. They should have a general understanding of business management principles and procedures, be able to apply research techniques, and be familiar with various methods of reporting information.

 

Duties and Responsibilities:

  • Utilizes online project management system to develop, monitor, and track progress of ongoing project plans.
  • Creates and maintains comprehensive project documentation, plans, and reports.
  • Assists in preparing budgets for client projects.
  • Completes technical and administrative work involved in coordinating meetings and agenda preparation.
  • Performs a variety of administrative tasks on behalf of the Managing Principal, such as generating outgoing memos and other forms of correspondence and attending to administrative issues on behalf of HCi.
  • Supports Managing Principal and HCi Consultants with general administrative duties, including, calendaring conference calls, proofreading and formatting documents and presentations, filing, electronic data management, etc.
  • Assists with developing responses to Requests for Proposals (RFPs).
  • Assists with the analysis and revision of administrative procedures, forms, and reports to increase their effectiveness; supervises conformance with administrative procedures.
  • Composes correspondence and prepares reports; assists with the creation of marketing and public relations materials.
  • Assists with billing and invoicing as needed; assists in ensuring contract compliance.
  • Acts in the absence of Managing Principal on routine matters.
  • Conducts a variety of management studies, i.e., workflow, leading to work simplification and greater operating efficiency.
  • Utilizes a variety of computer applications and electronic equipment to ensure efficient and effective completion of work.
  • Ensures practice management software and contact database are updated in a timely manner; ensures all contacts and related information are accessible.
  • Scans and saves documents into document management system.
  • Performs other duties as assigned.
